Presentation experience for in-person vs. Virtual attendees

ECCV’22 is planned as a hybrid event, with both in-person and virtual attendance options. Feedback we received in previous hybrid conferences was that combining in-person and virtual presentations (recorded or otherwise) does not work well, is distracting, and has a negative effect on the in-person experience.

We therefore decided to make the following changes to the in-person experience:

  • Oral talk slots and poster boards will be reserved only for papers with an author attending and presenting in-person.
    To clarify: if none of the authors attends ECCV’22 in-person, the paper will not be presented in an oral session (though still counts as an “oral”) and will not have a poster slot.
  • All papers (regardless of in-person vs. virtual attendance of their authors) will be available on the virtual platform.
  • Each paper on the virtual platform will be represented by its title, author list, PDF of main paper (camera-ready), a video (see below the preparation instructions), PDF of poster (see below the preparation instructions), and where appropriate, an indication for oral papers.
  • It is the responsibility of the speakers/submitters to upload their video according to the instructions below. If your material does not adhere to these instructions or is provided late it will not appear on the virtual platform.
  • Talks (orals, keynotes, etc.) will be live streamed on the virtual platform.
  • Both in-person and virtual attendees will be able to type questions during oral sessions using an online tool. Session chairs will be instructed to use this tool to choose questions directed at authors.
  • To avoid embarrassing “no-show” authors, authors must confirm with all authors of each paper, if nobody is available to come to Tel Aviv to present the work. Either way, authors need to update the “Attend In-Person” question (#13) in the Camera Ready section of CMT by the strict deadline of 22nd September (anywhere on earth). The Camera Ready section of CMT will be re-opened. Old questions/fields will be visible, but will be deprececated (i.e. no longer relevant).

In-person oral presentation instructions (in-person orals only)

Presentations should be prepared following these guidelines:

  • Each talk will be assigned to a specific Oral session
  • 12 minutes will be allocated for each talk: 9 min for the presentation + 3 min for Q&A
  • As mentioned above, Q&A will be enabled via an online tool available to both in-person and virtual attendees to use for typing questions. Session chairs will choose questions from this tool during each Q&A session.
  • All speakers for an oral session must make themselves known to the session chair 10 minutes BEFORE the session begins, also to try out connections. At 5-minutes before, the chair will likely drop the paper for no-show authors from the session.

Physical poster preparation instructions (in-person, all papers)

All accepted papers – regardless of poster vs. oral or author attendance plans – must prepare a poster file. The PDF file will be made available on the virtual platform. Authors attending in-person will additionally present their paper’s poster in one of the poster sessions. Instructions guidelines to prepare physical posters are:

  • Posters should be in Landscape mode (as is common in, say, CVPR)
  • Recommended poster dimensions are: 118.8cm wide X 84.1cm high. This is the standard A0 (landscape) paper size
  • We plan to have about 1 meter between poster boards, to reduce crowding in the in-person poster sessions.

  • Adhesive material and/or pins will be provided for mounting the posters to the boards.
  • Making posters is authors’ responsibility. However, we are working with local vendors to give presenters the opportunity to have posters printed locally in Tel Aviv, and then pick them up at the conference. Information on these options will be released separately.
  • Poster presenters are expected to set up their posters just prior to their poster session. We will not provide this service, regardless of in-person or virtual attendance.
  • Posters will be removed from the poster boards by the presenters at the end of the session. If not removed, volunteers will collect and dispose of any remaining posters.

Virtual platform poster preparation instructions (all papers)

In addition to physical posters, each paper must upload a poster PDF, to be shared on the virtual platform.

  • Posters presented online must be identical in design and dimensions to the physical, printed posters. Please see instructions above for physical poster details.
  • The poster file must be PDF (other formats, including Powerpoint, Google slides, etc. will not be processed.)
  • Whatever tool you used to design your poster, please therefore export your poster to a single-slide PDF file.
  • Please keep the size of the uploaded poster file to be smaller than 20MB.
  • Importantly, we will be downloading all poster files in a batch and will have limited ability to debug format or download issues. We therefore ask that you make sure your poster is available (world-readable) and that the PDF file is not corrupt.
  • Deadline for preparing the poster PDF and specifying the URL on CMT is OCT. 2nd 11:59am (noon) PST
  • If authors do not provide the poster’s information by this deadline or if we cannot access the file for whatever reason, the poster will not be available on the virtual platform.
  • Authors must upload the URL to their poster’s PDF in Question 14 of the Camera Ready section on their ECCV’22 CMT account (https://cmt3.research.microsoft.com/ECCV2022).

Video preparation instructions (all papers)

The authors of each paper must also prepare a single pre-recorded video presentation. The rules and length are the same for all authors (orals and posters), and videos will be available for virtual attendees through the platform, and eventually on YouTube too. During the conference, we will loop videos automatically in a screening room, for the convenience of in-person attendees. When preparing their videos, authors must adhere to the following criteria:

  • OCT. 2nd 11:59am (noon) PST is the firm deadline for uploading the video’s URL to CMT. Authors must enter the .mp4’s URL in the Final Video question (#15) on the paper’s CMT Camera Ready page.
  • Video length should be about 4 minutes, with a strict maximum of 5:00 minutes in length. Longer videos will automatically be excluded when importing to the platform, with no notification or recourse.
  • The video file must be a .mp4 file and your file must be named based on your paper ID number. So paper # 7 would be 0007.mp4.
  • The .mp4’s file size must be strictly <= 100 MB. No .zip’s will be accepted.
  • Instead of uploading the video file, authors must share the URL of a ready-to-download video file. Authors should therefore test that the file-read permissions are set correctly (world-readable) to allow our bulk-download script to download your .mp4.
  • A voice-over narration is optional but highly recommended.
  • Authors can freely use the ECCV logo on the title-screen: https://eccv2022.ecva.net/files/2022/03/ECCV-logo3.png
  • The title-screen should last AT LEAST 5 seconds and contain AT LEAST the paper’s title, author names, and their affiliations.
  • A typical video is 1920×1080 with mono audio. Encoding with adaptive or variable bit rate can help with trading quality for file-size to stay below 100 MB.
